The University offers a set of services to facilitate estates and facility management activities, most with computer-based support in one form or another. Major areas where comprehensive systems have been developed to provide support are:

General Defect Reporting

The General Defect Reporting function is designed to support electronic reporting and to keep track of the estates and general defects inside the University by integrating with the work request module in Maximo.
 

Laboratory Defect Reporting

The Laboratory Defect Reporting function is designed to support electronic reporting and to keep track of the laboratory defects inside the University by integrating with the work request module in Maximo.
 

Work Order Processing System (Maximo)

The system will accept work requests, create work orders based on the work required, tracks the progress of work performed as well as materials used, and generate necessary reports based on information stored. A preventive maintenance module will further trigger scheduled maintenance order on major equipment/facilities. Major functions of MAXIMO include:

  • Work order creation and work breakdown module
  • Work tracking and result recording module
  • Inventory and material recording module
  • Preventive maintenance module (including set up of PM plans)
     

Inventory Management System (IMS)

Inventory Management System is designed for the Facilities Management Office (FMO) to support their activities of managing the University's inventory, namely:

  • maintaining inventory items' particulars; and,
  • recording University's inventory movements and tracking the level of stocks.
